Agent Guide
How to log in, view your leads, and follow up efficiently as a LeadFloAgent user.
LeadFloAgent captures and qualifies leads from your website so you can focus on conversations that matter. This guide covers everything you need to know to work your leads effectively.
Logging In
Go to leadfloagent.com and click Sign In. Use the email address and password you created when you signed up. If you signed up with Google, click the Google option.
Your Lead Dashboard
After signing in, you land on your lead dashboard. Each row in the list is a visitor who engaged with your AI chatbot and submitted their contact information.
Each lead displays:
| Column | Description |
|---|---|
| Name | The visitor's full name |
| Contact email address | |
| Phone | Contact phone number (if provided) |
| Intent | Buy, Sell, or Rent |
| Timeframe | How soon they want to act |
| Captured | Date and time the lead was submitted |
| Quality | Quality score (0–100) |
| Urgency | Urgency score (0–100) |
Click any column header to sort the list. Use the filter bar to narrow by intent, timeframe, or date range.
Viewing Lead Details
Click any lead to open the full record. You will find:
- Contact information: Name, email, phone, and any other details the visitor provided.
- Intent and timeframe: What the visitor is looking to do and when.
- Quality and urgency scores: AI-calculated scores based on how complete and serious the lead appears.
- Conversation transcript: The full text of the AI conversation. Read this before reaching out — it tells you exactly what the visitor discussed, what properties came up, and what questions they asked.
- Conversation summary: A 2–3 sentence summary generated by the AI for quick reference.
Understanding Quality and Urgency Scores
Quality score: Reflects how complete the lead is. A visitor who provided their full name, phone number, a specific budget, and a described their ideal property scores higher than someone who gave only an email. Higher quality leads are worth prioritizing.
Urgency score: Reflects how soon the visitor intends to act. Scores above 70 typically indicate the visitor is ready to move within 30–60 days. Scores below 40 suggest the visitor is early in their research.
Use both scores together. A high-quality, high-urgency lead should be your first call of the day.
Following Up
LeadFloAgent captures the lead — the follow-up is yours to own.
Recommended follow-up sequence:
- Call within the first hour if the urgency score is above 60. Leads contacted within an hour convert at a significantly higher rate than those contacted the next day.
- Reference the conversation when you reach out. If the visitor mentioned a specific neighborhood or budget, acknowledge it immediately — it shows you read their information and builds rapport.
- Use email if you cannot reach them by phone. Reference the chat in your subject line (e.g., "Re: your search for a home in Northville").
If you use a CRM (such as Salesforce, HubSpot, or Follow Up Boss), export the lead from LeadFloAgent and enter it manually, or set up a webhook integration under Settings → Integrations.
Exporting Leads
To export your lead list to a CSV file:
- Apply any filters you want from the dashboard.
- Click Export CSV in the top right.
The export includes all visible fields: contact information, intent, scores, and capture date.
Lead Notification Emails
You receive an email notification each time a new lead is captured. The email includes the lead's contact information, intent, timeframe, conversation summary, and a direct link to the lead record in the dashboard.
If you are not receiving notifications:
- Check your spam or junk folder.
- Go to Settings → Notifications and confirm the notification email address is correct.
- Add the LeadFloAgent sender address to your contacts to prevent future emails from being filtered.
